Before the Emmy: phones ringing around the clock

“Ordering patients before was a disaster,”describes Dr. Dostalova. Date and time of preventive examination by a nurse every two years to parents of children older than 3 years sent manually by e-mail. But for many of them, the deadline did not fit.

It was even more complicated with infants. Parents of children under 1 year are given the appointment of the next preventive examination immediately at the visit Clinics. “But They usually have something to do with it.One day my mom can't because she goes to another doctor. On Tuesday they have swimming, and on Wednesday after lunch the baby sleeps...,” The pediatrician appoints the most common reasons.

Reordering requires up to a third of patients, with one such phone call to the nurse taking at least five minutes. “It has delayed us tremendously. In addition, parents who were dealing with an acute problem could not call us to the office,”recalls.

In addition, Dr. Dostálova was interrupted by telephone calls during the visits, although she herself did not answer the calls: “In the office, my sisters and I often quarreled and I couldn't fully concentrate on the patients..”

It is also not uncommon for patients to be examined. They didn't show up at all. In that case, the sister picked up the phone and intricately searched with her parents for a new appointment.

Nurse at PN-K Accelerates Acquisition of Emmy

Dr. Dostalove's Emmy caught her eye in the fall. “On Primary Care CongressI spoke to Mr. Young at the Emmy and explained to him the complications of ordering and re-ordering patients,” mentions the doctor.

Until then, she had only heard about payphones.“Voicebots would make our passions with Overloaded phones have not resolved. I needed a comprehensive system that could do so much more.” It explains why she was attracted to Emmy.

The decision to get an Emmy accelerated The departure of one of the sisterson a six-week PN.“I knew that we would not be able to cope with the onslaught of phone calls, the organization of screenings and vaccinations. So I immediately contacted Mr. Young, looked Webinarand Emmy ordered,” describes pediatric.

Custom Emmy Customization

By adjusting the requirements according to the focus of Emmy's practice, he calculates a can adapt not only to pediatricsbut also to other specializations (e.g. Urology). It also allows you to customize structured questionnaires and phrases.

Emmy offers doctors 56 preset phrases, which are divided into categories according to the type of answer. Phrases can be modified or created on their own.

“Emmy can do a lot of things and she keeps getting better.” describes the doctor.“I can do most of the work on my own. As for something more complex, I consult with Mr. Young. For questions reacts lightning fast, is patient and always comes up with the most effective solution.”

The younger nurse learned to work fully during the week in Emmy's software. Control for her was simple and intuitive. The doctor does not force a second nurse to use Emma:“She is retiring in June, technology is alien to her, and even though the current Emmy is only actively controlled by one of the nurses, we were incredibly relieved in the practice.”

Parents know Emmy from their practitioners

The doctor sent a mass email to all parents announcing that the office is using Emmy again. In addition, they learned the same information:

  • on the website
  • in the waiting room from leaflets and monitor to load health cards
  • also by telephone contact with the office

“Emmy has perfectly processed patient information materials“We were inspired by them in our office.” The doctor praises.

“I was surprised that
a lot of parents have Emmy with their practitioners,” describes the doctor. At the Emmy, they then ask to be able to represent their child. Then in the profile, in addition to their name, they will see the names of their children, for whom they communicate with the office.

To represent the child, parents apply to the practice directly at Emmy.

Ordering online for a specific time, even those who have not yet known Emma appreciate:“It certainly plays a role in this that they are younger graders and they control both the computer and the phone without problems, the oldest dad in our office was born in 1960.”

The office observes a decrease of up to 50% in missed appointments thanks to the automatic reminder that Emmy sends.

End of discharge and calls to patients

Emmy met the main expectations: she simplified the ordering process. “We invite about 60 children a month for preventive examinations. Nurse 2 to 3 days ago during the month she sat at the computer, sending invitation emails to each separately. And then she spent hours reordering,”mentions the doctor.

“Now, for the first time, when I was mass-ordering patients who are going to turn an odd year next month, It took me about a quarter of an hour, praises the function of bulk ordering. “I choose a group of patients to order, and Emmy sends them an email invitation for a specific time. When the term does not suit them and they are registered at the Emmy, They are directly reordered. If they don't have Emmy, they'll call us in the office and we'll ask them to sign up.” clarifies the new system of operation.

At each inspection, the nurse will ask the parents about the validity of the phone number and email. Thanks to this, the contact database is always up to date. “The great thing is that she sends Emma's parents a tour notification 3 days and 1 day in advance. As a result, we observe reduction of missed deadlines by up to 50%, despite the fact that the reminder from time to time ends up in spam,” says the doctor. In addition to emails, Emmy can also send bulk SMS messages to patients.

In the same way, Emmy helps when inviting patients to compulsory vaccination in 10 years against tetanus, diphtheria, whooping cough and polio.

The phone in the office remains the main communication channel for acute cases even after the introduction of Emma. Everything else is handled by new software.

Other benefits of Emmy

In color resolution and a clear calendar Dr. Dostalova sees all the patients ordered and the reason for their visit:“I know right away what awaits me that day and I don't have to look for it in a few places complicated.”In addition, he can look into the system calmly even from home outside of working hours. All she needs is an internet browser for this.

Flexible Emmy Setup Dr. Dostalova used to plan examinations of three- and five-year-old children. “Children at this age do not cooperate and communication with them tends to be difficult. Therefore, Emmy will arrange a maximum of one such preventive screening per day.”

The doctor also praises Better use of office time: “Before the introduction of Emmy, it used to happen that nurses did not order any more patients for the last half hour because they wanted to leave home early,”mentions the doctor. “When I told them about it, it always lasted a maximum of a week. It was Emmy who solved the problem.”evaluates.

Since the introduction of Emmy, only the doctor has had the distribution of the office time in her hands. This way, he handles more patients every day, because he practices until the end of the opening hours.

Emmy in the office also helped with covid isolations. “I created a structured questionnaire where I asked parents, for example, when the child was in contact with an infected person, if they had undergone a test or if they were contacted by hygiene,”says the doctor. They then simply copied the data from the questionnaire to the card, which saved her a lot of time.

For forgetful parents, the Emmy is the unit

In addition to reminding about the upcoming date, Emmy has also been great at sending copies of testimonials to summer camps, ski training, swimming classes or, for example, requests to speech therapy,”says the doctor.

At each preventive examination, he passes the opinion to the parents with an appendix so that heThey kept it until the next visit. But more than half of them lose their two-year sentences.”

Printed and unpicked requests had previously piled up and eventually had to be shredded by nurses. “Now we save space and paper. We always scan the document to the computer, including the stamp and signature. When parents lose the paper, they ask us sending a copy via Emmy.”

Emmy Potential in Pediatrics

“Emmy's support is great, as is developing new and improving existing features,” Appreciated by the doctor. For example, since last week at the Emmys, a new functionality has been added — detailed filtering of the file by age directly at the Emmys. “For me, this means a much more convenient job — I don't have to export data from the outpatient software and then import the data to Emmy when inviting patients in bulk,” clarifies.

“Emmy brought order and peace of mind to our office. I would recommend it to all doctors. — even those who face similar specificities in their field to pediatrics. Emma's flexibility is incredible. And it's really easy to use.” concludes Zora Dostálová.
